Redline Concrete Company is looking for an energetic self-starter to join its team. This is a part-time position with limited direct supervision so candidates must be responsible and reliable to maintain processes without reminders. We are looking for someone who is organized and can keep track of activities, bills, pay apps and certified payroll for several jobs at one time. Must be bilingual, have a pleasant demeanor and be comfortable with technology and office machinery.

Job Description: Office Manager

Duties include:

  • Conduct clerical duties – filing and management of bills from vendors per job, pay applications and payments plus joint checks. Notate checks written for bookkeeper, answer phone and take messages, respond to emails.

  • Prepare documents to send to clients, vendors – notifications or forms should be completed accurately and documented when sent.

  • Running errands for President of company – the president of the company wears many hats. It is the responsibility of the office manager to assist the president with chores or duties however needed at the time of need. Office manager must be able to determine priorities when it comes to office work when assisting president. Effective time management skill is of utmost importance.

  • Assist with bookkeeping – the office manager will communicate information regarding the financial transactions, payroll, and vendor or client payments to the bookkeeper. Bookkeeper will copy office manager on many reports and emails. Office manager must be aware of the information in the reports/emails in order to ensure that president is apprised of the information and can respond to bookkeeper as needed or directed.

  • Provide support to Project Managers and Project Engineers as needed – effective time management skill is required to be able to manage clerical needs of the project managers, including scanning the expense reimbursement requests to send to the bookkeeper for verification then collating these requests for the president to review. Additionally, office manager will ensure that these expense reimbursement requests are addressed in a timely manner.

  • Scanning and logging invoices for accounts receivable – all invoices should be electronically sent to the bookkeeper. Any invoices outside of this process should be immediately sent to bookkeeper.

  • Other duties – Scheduling meetings and travel arrangements for operations team as needed, Completing credit applications, Notarizing documents, Assisting with certified payroll.

  • Office management – Printing and creating packets for new hire process, Document certain tasks for training purposes, Order office supplies for entire office, Help with keeping offices clean and organized. Other duties as assigned.
